The challenge

What was going wrong

A healthcare enterprise in Canada required a structured approach to Microsoft Copilot and Copilot Studio adoption across administrative, clinical-support and operational functions — improving employee productivity and information accessibility while maintaining strict controls over patient information, healthcare records and sensitive operational data. Teams faced time-consuming information searches, repetitive administrative activity, fragmented procedural knowledge and limited internal experience in Copilot Studio governance.

    Conducted a readiness and privacy assessment covering Microsoft 365 information architecture, SharePoint and Teams permissions, patient-information exposure risks, data classification, privacy controls and AI governance requirements.

  2. 02

    Recommended a staged implementation beginning with administrative and operational use cases — policy summarisation, meeting preparation, drafting internal communications, employee onboarding and procedure discovery — rather than enabling Copilot broadly without preparation.

  3. 03

    Designed Copilot Studio agents for HR policy enquiries, employee onboarding, IT helpdesk requests, clinical-procedure discovery from approved repositories only, and organisational policy guidance, deliberately restricted to approved content and governed user groups.

  4. 04

    Delivered adoption and change enablement including executive briefings, responsible AI training, privacy-focused AI guidance, administrator training and feedback and optimisation cycles.
